Privacy Notice

​​Who we are

Encore Relocation Consultants Limited ("Encore", "we", "us") provides relocation services to people moving to the UK and to the organisations that employ them. We are a company registered in England and Wales (number 05511749). Our registered office is 6A Addison Avenue, London W11 4QR. We are registered with the Information Commissioner's Office (ICO) under reference ZA720355.

Our role

If your employer, or a relocation company acting for your employer, has asked us to help with your move, we usually process your information on their behalf and under their instructions. Your employer's own privacy notice also applies, and you can contact them about how they use your information. If you have engaged us directly, or where we use information for our own business purposes, we are the controller of your information.

The information we collect
  • Identity and contact details: name (as shown on your passport), nationality, date of birth, phone, email, and current and new addresses.

  • Assignment details: employer, job title, work address, and assignment start date and length.

  • Family details: the name of your partner or spouse, and your children's names, dates of birth, sex, and current school and year group.

  • Housing and move details: budget, property preferences, commuting needs, pets, household goods and viewing arrangements.

  • Documents: passport, visa or immigration status documents where a landlord or letting agent needs them for a right-to-rent check, and lease and tenancy documents.

  • Information you choose to share with us: for example healthcare needs, a child's special educational needs, or religious practice that affects where you would like to live. This is "special category" information. We collect it only if you choose to give it, and we use it only to help plan your relocation.

  • Website and enquiries: the details you give us through our contact form, website chat or by email.
     

How we use it, and our lawful basis

Who we share it with

We share your information only when it is needed for your relocation, and only the minimum necessary. Recipients may include letting agents and landlords, schools and education advisers, temporary accommodation providers, removal, shipping and pet relocation companies, your employer or its relocation management company, and our IT service providers (Microsoft, for email and document storage; New World IT Ltd, our IT support provider; Barracuda, for secure backup; and Wix, which hosts our website and receives messages sent through its contact form and chat). We never sell your information or use it for marketing to you.

International transfers

Our Microsoft 365 data is stored in Microsoft's data centres in the European Union, which are covered by UK adequacy regulations. Our website provider, Wix, may store website enquiries outside the UK under its approved data protection safeguards. Otherwise, we do not normally send your information outside the UK. If a transfer is needed (for example to your employer's office abroad), we use an approved safeguard, such as the UK International Data Transfer Agreement, or rely on the transfer being necessary for the service you have asked for.

How long we keep it

We keep your relocation file for up to 6 years after our services end, in case of queries or legal claims. We delete sensitive items much sooner: identity documents once we are no longer supporting your tenancy, and health or religious information when your case is closed. Where we act for your employer, we follow their instructions. Full details are in our retention policy, available on request.

How we protect it

We are certified under the UK Government-backed Cyber Essentials scheme. We store information in secure Microsoft 365 services with multi-factor authentication and encryption, backed up to a separate, immutable backup service. We share sensitive documents only with those who need them for your relocation, checking the recipient before sending and using access-controlled links where we can, and limit access to the staff working on your relocation.

Your rights

You have the right to access your information, and to ask us to correct it, delete it, restrict its use or transfer it. You can object to certain uses and withdraw your consent at any time. We respond within one month. To make a request, contact us using the details above. Where we act for your employer, we will pass your request to them and help them respond.

Complaints

If you are unhappy with how we have handled your information, please tell us first, using the contact details above. We will acknowledge your complaint within 30 days (usually much sooner), investigate it, and tell you the outcome. You also have the right to complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint, telephone 0303 123 1113.

Cookies

Our website is built on Wix. It uses:

  • essential cookies set by Wix to run and secure the site, which the site needs in order to work;

  • cookies from Wix Chat, our website chat, so that we can receive and reply to messages you send us; and

  • cookies from Google, set by the Google Map on our Contact Us page.

We do not use analytics or advertising cookies. You can accept or reject the non-essential cookies using the cookie banner when you first visit the site.
